I love them as a major donor cultivation tool, but I hate them for everything else! At its best, a nonprofit fundraising event is fun. These events divert attention from one-to-one fundraising efforts, which can be intimidating. After all, it\u2019s easier to sell tickets than ask for a gift.<\/p>\n<p>But there are also potential pitfalls when it comes to hosting a nonprofit fundraising event. <strong>Here are a few negatives (transactional):<\/strong><\/p>\n<ul>\n<li>They can take a lot of time\u2014planning, managing, and throwing the actual event.<\/li>\n<li>They can be expensive\u2014even more than you think.<\/li>\n<li>Attendees often don\u2019t convert to donors.<\/li>\n<li>Attendees who donate often don\u2019t give again.<\/li>\n<li>Ticket buyers have the perception they donated more than they did.<\/li>\n<li>Events can divert attention from other more fruitful strategies.<\/li>\n<\/ul>\n<p><strong>Here are the positives (potentially transformational):<\/strong><\/p>\n<ul>\n<li>Major donor prospects are often inspired to give or give more if proper attention is paid to them.<\/li>\n<li>You can see at a glance the potential negatives outweigh the positives. You can turn all those negatives into a big giant positive, but you have to know going in this is your plan. In other words, major donor cultivation should be the primary purpose of your nonprofit fundraising event.<\/li>\n<li>If you don\u2019t have major donor prospects, you\u2019d likely be better off waiting until you do. First, focus on strategies that develop all those things for you; then consider an event to help the process of transformation to powerful engagement and passionate commitment along.<\/li>\n<\/ul>\n<h2>The importance of a cost-benefit analysis for your fundraising strategies<\/h2>\n<p>Let\u2019s look at the cost to raise a dollar for a range of fundraising strategies.<\/p>\n<p><img decoding=\"async\" class=\"wp-image-55697 size-full aligncenter\" src=\"https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/Cost_Per_Dollar_Raised_Greenfield__AFP-3-1.jpg\" alt=\"Nonprofit Fundraising Event\" width=\"769\" height=\"381\" srcset=\"https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/Cost_Per_Dollar_Raised_Greenfield__AFP-3-1.jpg 769w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/Cost_Per_Dollar_Raised_Greenfield__AFP-3-1-200x99.jpg 200w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/Cost_Per_Dollar_Raised_Greenfield__AFP-3-1-400x198.jpg 400w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/Cost_Per_Dollar_Raised_Greenfield__AFP-3-1-600x297.jpg 600w\" sizes=\"(max-width: 769px) 100vw, 769px\" \/><\/p>\n<p><a href=\"https:\/\/www.amazon.com\/Fund-Raising-Evaluating-Managing-Development\/dp\/0471320145\" target=\"_blank\" rel=\"noopener\">James Greenfield<\/a> is the guru of fundraising cost-benefit analysis. The Association of Fundraising Professionals (AFP) arrived at similar results. In the best of all possible worlds, it cost 50 cents to raise a dollar from an event. The only more expensive strategy is direct mail donor acquisition. I would argue events are just as costly if you take into account the reality of what\u2019s involved.<\/p>\n<h2>Nonprofit Fundraising Event expenses<\/h2>\n<p>Let\u2019s look at what\u2019s involved in putting on an event.<\/p>\n<ul>\n<li><strong>Direct costs.<\/strong> This includes things like printing, marketing, rental, food and beverage, servers, coat check, transportation, decorations, entertainment, audiovisual, etc.<\/li>\n<li><strong>Indirect costs.<\/strong> This includes things like the salary of your event coordinator, part-time marketing staff, a huge percentage of the development and marketing team\u2019s time over a one-, two-, three-, or longer month period, a huge portion of the executive director\u2019s time leading up to the event, time volunteer coordinators spend managing volunteers. Calculating indirect costs can be tricky; <a href=\"https:\/\/www.givesmart.com\/blog\/how-calculate-net-gain-nonprofit-event\/\" target=\"_blank\" rel=\"noopener\">here\u2019s one model to help you out<\/a>.<\/li>\n<\/ul>\n<h2>Donor conversions<\/h2>\n<p><strong>Let\u2019s look at what it takes to meet folks where they are and move them to a greater level of engagement.<\/strong> Let\u2019s assume the point of the event is moving people along the continuum. <a href=\"https:\/\/www.accelevents.com\/blog\/convert-event-attendees-donors-q-claire-axelrad\/\" target=\"_blank\" rel=\"noopener\">Too often organizations forget about trying to turn event attendees into ongoing donors<\/a>. Since the value of a donor to you is based on <a href=\"https:\/\/bloomerang.com\/blog\/lifetime-value-your-donor-acquisition-strategy-secret-weapon\">lifetime value<\/a>, it\u2019s essential at the outset you incorporate strategies into your event plan to move your guests along the pipeline\u2014before, during, and after the event.<\/p>\n<p>Note: It\u2019s important to remember buying a ticket is not the same as making a donation. Often a large portion of the ticket price is the fair market value of what guests get in return; only some of the ticket price is tax-deductible.<\/p>\n<p><img decoding=\"async\" class=\"size-full wp-image-55698 aligncenter\" src=\"https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1.jpg\" alt=\"development marketing pipeline\" width=\"1336\" height=\"659\" srcset=\"https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1.jpg 1336w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-768x379.jpg 768w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-200x99.jpg 200w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-400x197.jpg 400w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-600x296.jpg 600w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-800x395.jpg 800w, https:\/\/bloomerang.com\/wp-content\/uploads\/2021\/09\/development-marketing-pipeline-1-1200x592.jpg 1200w\" sizes=\"(max-width: 1336px) 100vw, 1336px\" \/><\/p>\n<ul>\n<li><strong>\u201cAwareness-raising\u201d meets folks at the very beginning of the development\/marketing pipeline.<\/strong> If people barely know you exist, it\u2019s too soon to ask for a big gift. Because the anticipated ROI at this point is modest, smart awareness-building strategies are broad brush and relatively inexpensive. Since events are targeted and costly, they\u2019re a poor choice for raising awareness.<\/li>\n<li><strong>\u201cFriend raising\u201d or interest development meets folks early in the prospective donor journey.<\/strong> These prospective donors may be on your mailing list, so not strangers. But they\u2019re not sure they want to become more involved yet. If they do get involved, it\u2019s likely to be a low-intensity involvement at first. They\u2019ve still got some consideration and evaluation to do. Again, the anticipated ROI at this point is modest so the selected strategy should be equally modest.<\/li>\n<li><strong>Donor cultivation\u2014involvement, investment, and loyalty\u2014merits a targeted, more resourced approach.<\/strong> You want these folks who are already moving through the pipeline to become donors, right? Once people have demonstrated a desire to become more engaged, your job is to match their desires and values to your own. The second biggest mistake is not doing enough to retain event donors, who have some of the highest lapse rates of all donors.<\/li>\n<\/ul>\n<h2>Honest number crunching<\/h2>\n<p><strong>A donor makes a $300 gift.<\/strong> What do you have? You get $300 to spend on your mission, and you can list them as a $300 donor in your donor honor roll.<\/p>\n<p><strong>You sell a donor a $300 ticket.<\/strong> What do you have? If the fair market value of the event is $200, you only have $100 to spend on your mission. It\u2019s likely you\u2019ll have even less than that\u2014if anything at all\u2014once all your indirect costs are taken into account. The donor, however, considers themselves a $300 donor. They may even be ticked off if you don\u2019t treat them that way.<\/p>\n<p><strong>You coax last year\u2019s $3,000 donor to buy a table for this year\u2019s event.<\/strong> As with the example above, instead of having $3,000 to spend on your mission, you have just $1,000\u2014if even that.<\/p>\n<p><strong>Imagine last year\u2019s $3,000 donor attended your event the previous year and you had a specific cultivation plan for them.<\/strong> In other words, the event wasn\u2019t a one-off transaction but one step in a larger strategy to generate a transformative gift from this (and other) major donors.<\/p>\n<p>At the event, you made sure a board or staff member met them, greeted them, and gave them special treatment. You took special care with their seating arrangement so they were with people you thought they\u2019d enjoy. Maybe a staff or board member was placed near them to engage in a \u201cgetting to know you better\u201d dialogue that could be followed up on after the event. You later reach out multiple times with a variety of \u201ctouches\u201d and \u201cmoves\u201d designed to draw the donor closer.<\/p>\n<p>Now you\u2019re ready for an ask that engages their deepening passions. You ask for $5,000 to buy a table. Better still, you ask for $5,000 to be an event sponsor with two tickets. This leaves you with $4,600 to spend on your mission\u2014plus an opportunity to further inspire them so next year you can ask for a $10,000 gift!<\/p>\n<p><strong>Spending more to raise substantially more makes sense.<\/strong> Events can be a powerful major donor cultivation strategy. And, in this case, it\u2019s actually worth the investment.<\/p>\n<h2>Know your target.<\/h2>\n<p><strong>It\u2019s up to you to honestly assess your target for an event.<\/strong> When it comes to individual giving, an acceptable cost-benefit ratio can depend on a range of factors:<\/p>\n<ul>\n<li>Your organization\u2019s history, age, and size<\/li>\n<li>Constituent profiles<\/li>\n<li>Programs and services<\/li>\n<li>Funding structure<\/li>\n<li>Local demographics<\/li>\n<li>Local economics<\/li>\n<li>Staffing<\/li>\n<li>Volunteers<\/li>\n<li>Fundraising history<\/li>\n<\/ul>\n<blockquote><p>\u201c<em>Would the CEO of the not-for-profit prefer his fundraising office to generate $3 million and spending $600,000 for a $0.20 per $1.00 raised ratio, or would he\/she prefer it generate $4 million at the cost of $1 million, for a $0.25 per $1.00 raised ratio? The ratio of 4 to 1 does not look as good as 5 to 1. But on the other hand, the net income at 4 to 1 is $3 million; while at a cost ratio of 5 to 1 net income is $2.4 million. Most not-for-profit CEOs, while still asking if we could do better, will forget the ratio if it means having $3 million to spend on a mission versus $2.4 million.<\/em>\u201d<\/p>\n<p>&#8212; Michael Gerrity, <a href=\"https:\/\/www.softerware.com\/doclib\/dp\/sales\/dp_sal_whitepaper_wealthengine_roi.pdf\" target=\"_blank\" rel=\"noopener\">Return on Investment in Fundraising: Using ROI to Your Advantage<\/a><\/p><\/blockquote>\n<p>What if you could generate $10 million at a cost of $5 million? That\u2019s 50 cents on the dollar instead of 25 or 20 cents, but it means having $5 million to spend on your mission. <strong>You need to know you have a reasonable chance of reaching your net revenue goals<\/strong>\u2014and this will be based on the particulars of your own history and the factors outlined above.<\/p>\n<h2>Spend more if you\u2019ll net more. Otherwise, Cut Back.<\/h2>\n<p>Be thoughtful and honest about what you\u2019ll get out of your nonprofit fundraising event and what you\u2019ll give up to throw it. Weigh the positives and negatives. Don\u2019t do it just because it\u2019s always been done or because your boss or a board member wants you to do it.<\/p>\n<p>If you can\u2019t get out of the event entirely, consider ways to make it a more reasonable expenditure of resources. Last year was an unexpected blessing for many organizations that found they could do something much less labor intensive and costly by throwing a virtual event. If that\u2019s you, consider sticking with this.<\/p>\n<p>Here are other things to consider:<\/p>\n<ul>\n<li>Change an in-person event into a <a href=\"https:\/\/bloomerang.com\/blog\/seven-easy-steps-to-move-any-event-to-virtual\/\">virtual event<\/a>.<\/li>\n<li>Throw your in-person event every other year instead of annually.<\/li>\n<li>Consider throwing a <a href=\"https:\/\/bloomerang.com\/blog\/hybrid-events\/\">hybrid event<\/a> so you can reach more people.<\/li>\n<li>Brainstorm ways to make the event more profitable (e.g., getting sponsors, hosting an <a href=\"https:\/\/bloomerang.com\/blog\/4-ideas-for-how-to-do-that-fundraising-event-online\/\">online auction<\/a>, incorporating a <a href=\"https:\/\/bloomerang.com\/blog\/5-ways-to-make-your-next-crowdfunding-campaign-a-success\/\">crowdfunding campaign<\/a> into your event fundraising strategy, etc.).<\/li>\n<li>Think through ways to decrease expenses.<\/li>\n<li>Reflect on ways to reduce the burden on staff.<\/li>\n<\/ul>\n<p><a href=\"https:\/\/bloomerang.com\/blog\/theres-no-free-lunch-in-fundraising-why-you-need-overhead\/\">I\u2019m an advocate for retiring old notions of \u201coverhead&#8221;<\/a>. If what you end up with nets out to more money to further your mission and doesn\u2019t suck up so much staff and volunteer time that there\u2019s nothing left to apply to other potentially fruitful fundraising strategies, go for it. If what you end up with simply sucks up precious limited resources that could be more profitably employed elsewhere, think about doing something else.<\/p>\n","protected":false},"excerpt":{"rendered":"<p>I confess to having a love\/hate relationship with fundraising events.
