{"id":34863,"date":"2018-04-16T05:00:00","date_gmt":"2018-04-16T09:00:00","guid":{"rendered":"https:\/\/bloomerang2dev.wpengine.com\/?p=34863"},"modified":"2025-09-03T22:54:05","modified_gmt":"2025-09-04T02:54:05","slug":"wow-special-event-moments-to-convert-guests-to-loyal-donors","status":"publish","type":"post","link":"https:\/\/bloomerang.com\/blog\/wow-special-event-moments-to-convert-guests-to-loyal-donors\/","title":{"rendered":"WOW Special Event Moments to Convert Guests to Loyal Donors"},"content":{"rendered":"<p>Let me begin with a true story that\u2019s informed every single <a href=\"https:\/\/bloomerang.com\/blog\/9-questions-to-ask-yourself-before-organizing-a-special-fundraising-event\/\" target=\"_blank\" rel=\"noopener\"><span style=\"text-decoration: underline\">special event<\/span><\/a> I\u2019ve ever developed.<\/p>\n<p><b>[TRUE STORY]<\/b> Early in my nonprofit career, before I ran my first special event, I attended an Association of Fundraising Professionals (AFP) luncheon (it was called N.S.F.R.E. at the time) where Charlotte Mailliard (now Charlotte M. Schultz, wife of Secretary of State George P. Schultz, and California and San Francisco\u2019s Chief of Protocol) gave a talk about putting on killer special events.<b>\u00a0<\/b>Hailing from Texas, she was all about the \u201cwow.\u201d (Still is. In fact, the <i>San Francisco Chronicle<\/i> calls her the \u201ccity\u2019s premier party giver!\u201d). Charlotte\u2019s philosophy is as big as the state from which she hails, and it\u2019s one I\u2019ve carried with me ever since:<\/p>\n<p><b><i>Give your guests more than they anticipate; bestow them with exceptional gifts so they leave fulfilled beyond their expectations.<\/i><\/b><i> \u00a0<\/i><\/p>\n<p><b>GO BIG!<\/b><\/p>\n<p>Don\u2019t just meet people\u2019s needs. Exceed them. Merely meeting an expectation doesn\u2019t get people excited. They may be satisfied with what they got for their money, but they\u2019ll tell their friends the event was \u201cfine,\u201d \u201cokay,\u201d or \u201cwhat I expected.\u201d They won\u2019t become a raving fan who tells others: \u201c<i>The event was fantastic! You absolutely can\u2019t afford to miss it next year!<\/i>\u201d<\/p>\n<h3>Feelings, Nothing More Than Feelings<\/h3>\n<p>Maya Angelou famously wrote:<\/p>\n<p>\u201c<i>People will forget what you said, people will forget what you did, but people will never forget how you made them feel<\/i>.\u201d<\/p>\n<p>If you want to <a href=\"https:\/\/bloomerang.com\/blog\/5-tips-to-boost-donor-retention-through-fundraising-events\/\" target=\"_blank\" rel=\"noopener\"><span style=\"text-decoration: underline\">retain event attendees<\/span><\/a>, <span style=\"text-decoration: underline\"><a href=\"https:\/\/clairification.com\/2015\/05\/05\/heed-maya-angelou-to-retain-more-donors\/\" target=\"_blank\" rel=\"noopener\">heed Maya Angelou<\/a><\/span>.<\/p>\n<p>Surprise them. Excite them. Enchant them. Make them feel special. Make them feel like heroes.<\/p>\n<h3>Stuff your Event with Memorable Wow Moments<\/h3>\n<p>Think back on events you\u2019ve attended. Vacations you\u2019ve been on. Restaurant meals you\u2019ve enjoyed. What good memories come to mind?<\/p>\n<p>Chances are it\u2019s the extra touches you didn\u2019t expect. The towel folded into the shape of a swan. The bottle of bubbly delivered for your birthday. The complimentary chocolates tucked onto your pillow. The rose petals on the bedspread. The water misted on you at poolside. The touches that made you sit up and think: \u201cWow!\u201d<\/p>\n<p><b>Customer-centered touches make people feel pampered.<\/b><\/p>\n<p>People like to be pampered. They like to feel taken care of. It puts them in a good mood. It creates positive memories. And that\u2019s what you want for your <a href=\"https:\/\/bloomerang.com\/blog\/video-missionizing-your-special-fundraising-events\/\" target=\"_blank\" rel=\"noopener\"><span style=\"text-decoration: underline\">special event attendees<\/span><\/a>. Right?<\/p>\n<p>Right! Because happy guests are giving guests. And guests who remember their experience with you fondly will give again.<\/p>\n<h3>The Secret to a Memorable Event Attendee Experience<\/h3>\n<p>Let\u2019s look at an example of a memorable restaurant experience (a true story) that can serve as a guideline for creating a memorable event experience. I found it on a podcast from\u00a0<i>Convince and Convert<\/i>:\u00a0<span style=\"text-decoration: underline\"><a href=\"http:\/\/www.convinceandconvert.com\/podcasts\/episodes\/memorable-customer-experience-secret-ingredients\/?utm_source=ON&amp;utm_medium=Email&amp;utm_campaign=ONEmail\" target=\"_blank\" rel=\"noopener\">The Secret Ingredients to a Memorable Customer Experience<\/a><\/span>. The whole episode is interesting, but I particularly commend the example found midway through the audio [10:04 \u2013 19:46]<\/p>\n<p><b>[TRUE STORY]<\/b> For his seventh anniversary, Joey took his wife to Flagstaff House which is, according to Thrillist, the most romantic restaurant in America. Every detail was considered, from custom menus with their names and a hand-signed congratulatory message on them, to a magical, theatrical dessert called S\u2019mores Flamb\u00e9. Joey was over the moon about the presentation of the hand-signed menu and the dessert finale. First and last. The in-between part was important too.<\/p>\n<p>The podcast looks at lessons learned from this truly memorable customer experience. Takeaways include:<\/p>\n<ul>\n<li style=\"font-weight: 400\">Personalize with mementos to make details remarkable and create a memorable customer experience.<\/li>\n<li style=\"font-weight: 400\">Create an experience your customer hasn\u2019t had before.<\/li>\n<li style=\"font-weight: 400\">Service is as, or maybe more, important than setting.<\/li>\n<li style=\"font-weight: 400\">Focus on all the small details that show you care.<\/li>\n<li style=\"font-weight: 400\">Anticipate, and be sensitive to, personal preferences (e.g., dietary restrictions, allergies).<\/li>\n<li style=\"font-weight: 400\">Follow your customer\u2019s pacing.<\/li>\n<li style=\"font-weight: 400\">The first and last experience with a brand are the ones that are most memorable.<\/li>\n<\/ul>\n<p>Let\u2019s look at what you can do, first, last and everywhere in between, to create a memorable experience for your special event guests.<\/p>\n<h3>FIRST WOW: When Guests Arrive<\/h3>\n<p>If you give folks rose-colored glasses when they enter, they\u2019ll view the rest of your event through this cheery lens. I recently attended an event that, sadly, blew it. Rather than envelope me in a rosy haze, they effectively jump-started my critical nature.<\/p>\n<p><b>[TRUE STORY]<\/b> The organizers began with a good idea. Tell folks to park at a public garage (rather than the high-priced hotel valet), and let them know there will be a shuttle available to ferry them to the event site. So far, so good. But\u2026 when I arrived at the garage there was no signage pointing me to the shuttle. No one to greet me and direct me to the appropriate boarding area. No one to reassure me I was even in the right garage! So\u2026 I waited outside the entrance. Some other guests decided to walk up the hill towards the hotel. One woman said \u201cI\u2019m not really wearing the right shoes for this,\u201d then grudgingly headed up the sidewalk. \u00a0You get the idea. The shuttle did eventually come, but by then I was in a critical mood.<\/p>\n<p><b>You only have one chance to make a first impression.<\/b><\/p>\n<p>Whatever first impression you make, it\u2019s more important than you may realize. Because folks will carry this mindset throughout the rest of the event. And you don\u2019t want them in a fault-finding frame of mind. \u00a0You want them more or less \u201chigh\u201d on love, right? Because then they\u2019ll think everything they see and do is wonderful!<\/p>\n<p>Things I have done to incline folks towards a joyful, dopamine-induced \u201chigh\u201d (<a href=\"https:\/\/www.economist.com\/blogs\/economist-explains\/2014\/02\/economist-explains-6\" target=\"_blank\" rel=\"noopener\">t<span style=\"text-decoration: underline\">he science behind love at first sight<\/span><\/a>) right from the get-go:<\/p>\n<ul>\n<li style=\"font-weight: 400\"><b>Searchlights\u00a0<\/b>to guide folks to the event and create excitement.<\/li>\n<li style=\"font-weight: 400\"><b>Cheerful balloons at entrance.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Volunteer greeters<\/b>\u00a0to warmly welcome folks as they arrive.<\/li>\n<li style=\"font-weight: 400\"><b>Roving musicians, magicians, acrobats\u00a0<\/b>or other entertainment.<\/li>\n<li style=\"font-weight: 400\"><b>Corsages and boutonnieres<\/b>\u00a0for special guests.<\/li>\n<li style=\"font-weight: 400\"><b>Logo pins<\/b>\u00a0(or glow stick jewelry) for all guests<\/li>\n<li style=\"font-weight: 400\"><b>Welcome glasses of bubbly.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Hosted bar<\/b>\u00a0and or specific cocktails with donated liquor.<\/li>\n<li style=\"font-weight: 400\"><b>Hosted coat check.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Photographer<\/b>\u00a0to take guest photographs and present them with a memento.<\/li>\n<li style=\"font-weight: 400\"><b>Passed hors d\u2019oeuvres.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Food trucks\u00a0<\/b>with free bites.<\/li>\n<li style=\"font-weight: 400\"><b>Interactive reception entertainment\u00a0<\/b>(e.g., <a href=\"https:\/\/bloomerang.com\/blog\/using-data-to-build-better-silent-auctions\/\" target=\"_blank\" rel=\"noopener\"><span style=\"text-decoration: underline\">silent auction<\/span><\/a>, raffle, surprise gift boxes; fun games with prizes (e.g., guess the number of gummies in the jar; spin the wheel to win a prize); photo booth).<\/li>\n<li style=\"font-weight: 400\"><b>Favor bags or souvenir\u00a0<\/b>at everyone\u2019s seat.<\/li>\n<li style=\"font-weight: 400\"><b>Designated host<\/b>\u00a0at every table to welcome guests and assure everyone is included in conversation.<\/li>\n<\/ul>\n<h3>LAST WOW: When Guests Leave<\/h3>\n<p>Things I have done:<\/p>\n<ul>\n<li style=\"font-weight: 400\"><b>Champagne toast\u00a0<\/b>(bubbly is served to all; host leads everyone in a toast to the donors \u2013 who make it all possible).<\/li>\n<li style=\"font-weight: 400\"><b>Bonus dessert reception<\/b>\u00a0(after dinner is completed, guests exit the dining salon and are greeted by a surprise dessert buffet in the reception area \u2014 now filled with donated treats).<\/li>\n<li style=\"font-weight: 400\"><b>Bonus espresso bar.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Surprise guest performer at end of formal program.<\/b><\/li>\n<li style=\"font-weight: 400\"><b>Take-home favors<\/b>\u00a0(e.g., logo gift; donated chocolates, cookies, candy, dried fruit, etc.; donated (autographed?) book or magazine; donated gift coupon) [Always add a meaningful note and package items festively. Once I gave away chocolates in a bag with a note saying \u201cSweet Dreams.\u201d Once I gave away heart-shaped cookies with a note saying \u201cThanks for being the heart of our community.\u201d Once I got donated bagels and the Sunday morning newspaper as a way to say \u201cThanks for coming \u2013 Enjoy breakfast on us!\u201d]<\/li>\n<\/ul>\n<p>In Part 2 we\u2019ll look at all the little ways you can make the event experience extraordinary (not just ordinary) all through your event.
